Shopware uses Checklynx to screen customers, merchants and suppliers during onboarding and before payouts through its partners. The implementation began as a migration from a previous screening provider and developed into a connected workflow spanning Excel, HubSpot, the Checklynx API and ongoing monitoring.

Start with the process the team already uses

The migration began with batch screening through an Excel upload. Checklynx allowed the uploaded records to become synchronized customer profiles rather than isolated screening rows.

That distinction matters during later reviews. When an analyst resolves a candidate as a false positive, the decision remains connected to the customer. An unchanged result does not need to be investigated from the beginning during every monthly screening cycle.

The team could therefore improve its established spreadsheet-based process before completing a deeper technical integration.

Connect onboarding screening to HubSpot

Shopware then connected its onboarding workflow through a dedicated HubSpot integration. When a new customer is created in the CRM, the screening is triggered automatically.

The resulting screening status is available in HubSpot for the teams working there and in the Checklynx dashboard for compliance review. This reduces manual handoffs while retaining a dedicated environment for investigating matches, recording decisions and preserving evidence.

Extend the workflow through the API

The implementation continued through the Checklynx API. API screening supports repeatable controls at the moments Shopware needs them, including onboarding and checks before payouts through its partners.

This phased approach allowed the team to migrate its existing population first, validate the review process and then connect screening to operational events without redesigning the entire journey around a new provider.

Monitor higher-priority relationships continuously

For selected suppliers and customers, Shopware moved from periodic review to ongoing monitoring. Approximately 3,000 customers are currently included in that monitoring workflow.

When relevant supported sanctions information changes, Checklynx returns the affected relationship for review. Previously recorded context remains connected to the customer, helping the analyst distinguish a genuinely changed risk signal from an unchanged result already assessed.

Reduce repeated review work

Shopware attributes the reported monthly time reduction to a connected review history across batch and automated screening. Retaining false-positive decisions reduces repeated analysis, while synchronized records, CRM visibility, API checks and ongoing monitoring keep the screening outcome attached to the relevant customer or supplier.
